Quote Follow-Up · Bathroom, Kitchen & Home Renovators · Perth WAYour next $30k bathroom is sitting in your sent quotes.

A mid-range Perth bathroom runs $21,000 to $36,750. Australian renovators win roughly one quote in five, and the decision takes weeks. Some of the other four were never going to sign. Some just went quiet while you were on the tools, and nobody asked again. We do the asking.

The numbers

Roughly one quote in five wins.
Where do the other four go?

Buildxact, the Australian-founded estimating software, has published win rates from the quotes Australian builders send through it. The most recent detailed reports are from 2020 and 2021, and they tell the same story.

18 to 19%

renovation quotes won

The renovation win rate held around 18 to 19% through the first half of 2021, in line with the long-term average. That is about one in five. Buildxact, Jan to Jun 2021

15.1%

in a busy quarter

Across all quotes from April to June 2020, down from 21.6% a year earlier, as quote volumes doubled and clients took longer to decide. Buildxact, 2020 report

Some of the four went with someone else. Some put the job off. But some were still deciding on day 30, liked your quote, and never heard from you again because you were on a site in Baldivis with your phone in the ute. Those are the ones worth chasing, and they cost nothing to find. They are already in your sent folder.

The 2-day rule

Quotes sent inside
two days win 32%.

Buildxact's March 2026 data across its builder users found that estimates sent to clients within 2 days had a 32% win rate, and that the win rate keeps falling steadily after that. Buildxact, March 2026

That figure covers Buildxact's users worldwide, not Australia on its own, so treat it as a direction rather than a Perth number. The direction is hard to argue with: the client who waits a week for your number has had a week to ring someone else.

What we do about it

We cannot write your quote. We can make sure nothing around it slows you down.

Same-day site visit. A new enquiry gets a reply inside a minute and a measure-up time, not a callback next week.

The client knows when. After the visit they get a text saying when the quote will land, so the wait feels organised.

You get a nudge. If a measure-up is two days old and no quote has gone out, you hear about it.

After the quote

Fifty days of follow-up,
without you lifting a finger.

Every quote you send gets the same steady follow-up, in your voice, from your number. It stops the moment the client replies, books or says no.

Did it arrive?

A short check that the quote came through and an offer to answer questions. This is where most small worries get sorted before they turn into a no.

Day 2

Anything to change?

Clients often stall on one line item. We ask if anything needs a second look, so you can re-price the shower screen instead of losing the bathroom.

Day 7

Still on the list?

Three weeks in, a plain check-in. Have they decided, put it off, or gone elsewhere? Every answer is useful, and a no closes the file cleanly.

Day 21

Before the calendar fills

Around the 50-day mark, a last note about when you can start. If they are ready, the reply comes to you and we book the call.

Day 45

The timing and the wording are set with you in week one. How the sequence is built, and why it is four messages and not ten, is in the quote follow-up guide.

On the tools

The calls you miss
while you are tiling.

A new enquiry that rings out does not leave a message. It rings the next renovator. When you miss a call, the caller gets a text from your number inside a minute asking what room, which suburb and when they want to start, and the answer lands in your diary as a site visit. It is the same system as the quote follow-up, so there is nothing extra to run.

If you are weighing it against an answering service, every option is priced side by side in the answering service cost comparison for Australian tradies, and the text-back itself is shown on the missed call text back page.

A client who liked your bathroom is the easiest kitchen you will ever quote. No one else is in the running yet, and they already trust your work.

We go through the jobs you have finished in the last few years and contact the right clients at the right time: a check-in on the work you did, a note when you have a gap in the calendar, a reminder before the busy season.

The consent rule. A text that promotes your business is a commercial message under the Spam Act 2003, so it needs consent, your business identified and a working unsubscribe. Consent can usually be inferred from the work you did for a client, but only for messages about that relationship. A check-in on the bathroom fits. Pitching a kitchen you have never quoted is a stretch, so we ask at handover whether the client is happy to hear about future work, and keep the record. A bought or scraped list has no consent at all. The full rules, with templates, are in the past customer reactivation guide.

Extensions and granny flats

Extensions and granny flats: the quote waits on the bank.

A bathroom quote goes quiet for weeks. An extension quote can go quiet for months, and most of that silence is paperwork, not doubt.

Design, council, finance: where a $250k quote goes quiet

Addstyle, a Perth extension builder, puts most ground-floor extensions at $250,000 to $500,000, from $200,000. A second storey costs more again: Amerex prices them from $380,000, typically $400,000 to $600,000 or more. Before a client that size signs anything, the job has to get through four stages.

Where an extension quote waits, published Western Australian figures, checked October 2026
StageHow longWhat the client is waiting on
DesignAbout 6 to 8 weeksPlans drawn and refined. Addstyle
ApprovalsA few weeks to 4 to 6 monthsCouncil, longest where a development application or advertising is involved. Addstyle
Building permit10 or 25 business daysCouncil assessment under the Building Act 2011: 10 business days for a certified application, 25 for uncertified. City of Cockburn
FinanceAfter approvalLenders want council approval and stamped plans before the loan application can proceed. TNT Financial

Each stage is a stretch where the client is talking to the designer, the council or the bank, and not to you. By the time the loan comes through, the quote you priced months ago can feel like it came from a stranger.

Granny flats under 70 m²: no planning approval, faster decisions

Granny flats move faster. Since 10 April 2024, an R-Code-compliant granny flat (an ancillary dwelling) of up to 70 m² can be built on a residential lot of any size without planning approval, as long as it meets the local setback requirements. It still needs a building permit: the City of Joondalup, for one, requires a building permit for all ancillary dwellings. The exemption covers compliant flats on residential lots, so rural zones and local planning rules can differ, and your client should confirm with their council before they count on it.

The price is easier to picture too. Summit Homes lists a 1-bedroom granny flat from $171,218, before an allowance for finishes and site works priced per site. A smaller number and no planning approval in the way mean a granny flat quote should be chased in weeks, not months.

Follow-up that lasts as long as the approval

So we do not run a 50-day sequence on a $400,000 extension. We stretch the follow-up across three to six months and tie each message to the stage the client is in: plans back from the designer, the application lodged, approval through, the answer from the bank. Each one is a reason to check in that is about their project, not your calendar.

When they are ready to sign, the rules are on their side. In WA, a builder can ask for a deposit of no more than 6.5% on contracts between $7,500 and $500,000, and home indemnity insurance is required for work that needs a building permit and is valued at more than $20,000. Putting both in a follow-up message, in your words, answers two questions before the client has to ask them.

How the sequence is built is in the quote follow-up guide, and the stage-by-stage version for extensions is in the extension builder quote follow-up guide.

From extension to kitchen, from granny flat to patio

A client who trusted you with an extension has already trusted you with the biggest job on their block. The kitchen they put off to pay for it, or the patio beside the new granny flat, is the next quote, and nobody else is in the running yet. The consent rules still apply, so we ask at handover and keep the record. How that works, legally, is in the past customer reactivation guide.

Cabinet makers and joiners

Cabinet makers and joiners: kitchens, robes and vanities.

A custom kitchen goes through a measure, a design meeting and a list of selections before anyone signs. The quote is one stop on the way, and it is the easiest place for a client to stall.

Quotes that wait on the design meeting

Most custom cabinetry jobs run the same way: measure, design and selections, quote, deposit, manufacture, install. The quote lands after the client has picked a door profile and before they have paid anything, which is exactly where a job goes quiet while they look at two other kitchens.

Where a cabinetry job spends its time, published Perth figures, checked October 2026
StageHow longWhat happens
Design and selectionsAbout 2 weeksMaterials, hardware and fixtures chosen with the client. QN Designs
Manufacture2 to 5 weeksBuilt in the workshop after design approval: 2 to 4 weeks at Joyce Kitchens, about 5 weeks at QN Designs.
Install2 to 5 daysCabinetry fitted on site, depending on scope. Joyce Kitchens

The jobs are worth chasing. Joyce Kitchens puts installed cabinetry for a standard family kitchen at $12,000 to $22,000, and What's The Damage puts custom cabinetry from a Perth cabinet maker at $12,600 to $36,750, typically $19,950. So the follow-up hangs off the design meeting, not the day the quote went out: a note when the renders arrive, a check on the selections, and the manufacturing lead time set against the date the client wants the kitchen finished.

The calls after the workshop closes

Some of the Perth workshops we checked keep trade hours. Colray Cabinets in Landsdale is open 7am to 3pm on weekdays, and Joyce Kitchens' Osborne Park showroom closes at 4pm. A client who works nine to five rings on their lunch break or after the saws are off. When that call goes unanswered, the caller gets a text from your number inside a minute asking which room, which suburb and when they want it done, and the reply is waiting for you in the morning. It is shown on the missed call text back page.

Kitchen done. Now the robes, laundry and vanity

A client who signed off on your kitchen has a house full of other cupboards. Wardrobe Man, a Wangara wardrobe maker, puts custom built-in wardrobes at $2,000 to $12,000 or more, with a three-bay design from $5,419. The laundry and the bathroom vanity come out of the same workshop for the same client, and nobody else is quoting on them yet.

The consent rule above still applies. A check-in on the kitchen you built fits the relationship you already have. Pitching robes you have never quoted is a stretch, so we ask at handover whether the client is happy to hear about future work, and keep the record. The full rules are in the past customer reactivation guide.

Deposits under WA rules

The Home Building Contracts Act counts cabinet makers as builders, and on contracts between $7,500 and $500,000 the usual deposit cap is 6.5%. Building and Energy's Industry Bulletin 130 explains the 2020 exception: where off-site cabinetry work is more than half the contract value, a cabinet maker can ask for a deposit of up to 20%. Cabinetry work here means custom-made kitchen, bathroom, laundry and other cabinets, not the purchase and installation of off-the-shelf cabinets. The exception is still in regulation 3A of the Home Building Contracts Regulations 1992, and Building and Energy's homeowner guide, updated September 2026, describes the same limit.

A 20% deposit on a $20,000 kitchen is $4,000, against $1,300 at 6.5%, so the client should hear why before the invoice does the talking: their cabinets are built in your workshop before they reach the house. Saying so in a follow-up message, in your words, takes a question off the table.

If you build kitchens for a builder, that client is the builder's, and we leave it alone. We work the quotes you sent to homeowners yourself. The stage-by-stage version is in the cabinet maker quote follow-up guide.

The maths is simple. A typical mid-range Perth bathroom is $28,350. Even counting only the margin, and Buildxact's builders averaged a 14.2% margin in the third quarter of 2020, one recovered bathroom is worth about $4,000. That pays the $999 founding setup and more than a year of the platform fee. Run your own numbers in the lead cost calculator.

Straight up

Who we are for,
and who we are not.

Right for you if

  • You do bathrooms, kitchens, laundries or whole-home renovations, and quote most weeks.
  • You build extensions, second storeys and granny flats, and your quotes wait months on council and the bank.
  • You are a cabinet maker or joiner building kitchens, robes and vanities, and your quotes wait on the design meeting.
  • You send more quotes than you win, and nobody has time to chase them.
  • You have a few years of finished jobs and have never contacted those clients again.
  • You would rather hear the numbers from a person than log in to find them.

Not for you if

  • You want someone to sell you leads. We do not, and we will say so on the call.
  • You are booked solid for a year off referrals alone. Your gap is elsewhere.
  • You want to buy software and run it yourself. The running is what we sell.
  • You are not sending quotes yet. Fix the enquiries first, and we will tell you that.

Before you book

What renovators
ask us first.

How do renovators get more leads in Perth?
Most renovators go looking for new enquiries first: hipages, Google ads, a better website. Those help, but the cheapest work is usually already in your inbox. Australian renovators won about one quote in five in 2021, so for every bathroom you sign there are four quotes that went quiet. Following those up, answering the calls you miss on the tools, and contacting past clients when their next room is due all come before paying for another lead. Once that is running, new enquiries are worth more because fewer of them leak.
Do you sell renovation leads?
No. We do not sell leads, share them or charge per lead. We work the quotes you have already sent, the calls you miss and the past clients you already have, so the enquiries are yours and nobody else is quoting on them because of us.
Will the follow-ups annoy my clients?
Four short messages over about six weeks, in your wording, from your business. They stop the moment the client replies, books or says no. Most people take weeks to decide on a renovation, so a polite check-in on day 7 or day 21 reads as organised, not pushy.
What happens when a client replies?
It comes straight to you, with the quote and the client's details beside it. If they want a second site visit or a call, we book it into your diary. You do the selling. We make sure the conversation happens.
Can we text past clients about a new kitchen?
Usually about the work you did for them, yes, because the Spam Act 2003 lets consent be inferred from an existing business relationship. A check-in on the bathroom you built fits. Pitching a kitchen you have never quoted for them is a stretch, so the safe way is to ask at handover whether they are happy to hear from you about future work, and keep a record of the yes. Every message also needs your business identified and a working unsubscribe, and since 1 July 2026 a business-name sender needs a Sender ID on ACMA's register. We lodge it for you. The detail is in the past customer guide.
Do you work with extension and granny flat builders?
Yes. An extension quote waits on design, council approval and finance, often for months, so instead of four messages over 50 days we run the follow-up across three to six months and tie each message to the stage the client is in. Granny flats up to 70 m² that meet the R-Codes need no planning approval in WA, though they still need a building permit, so those decisions come faster and the follow-up is shorter. Either way we work the quotes you have already sent. We do not sell leads.
Do you work with cabinet makers and joiners?
Yes. A cabinetry quote usually comes after a measure and a design meeting, so we tie the follow-up to that: the renders, the selections, and the manufacturing lead time before the client's own deadline. Calls you miss after the workshop closes get a text back, and past kitchen clients who agreed at handover can hear from you about robes, laundries and vanities. Work you do through a builder is the builder's client relationship, so we do not chase it. We work the quotes you sent to homeowners yourself. We do not sell leads.
What does it cost?
Setup is $999 for the first three renovation clients, or $1,500 after that, plus a $197 monthly platform fee. Your first 8 booked estimates are free. Month to month, no lock-in. A mid-range Perth bathroom is typically $28,350, so one recovered job is worth more than the setup and a year of the fee.
