AI receptionist for tradies: what actually answers your phone at 2am

Voicemail loses the job. An answering service takes a message you still have to act on. An off-the-shelf AI receptionist reads the same script to every business on the plan. Here is what each one does with a burst pipe in Baldivis at 1:40am, and what all of them cost. Or hear one for yourself: ring 0495 044 800 and ours picks up.

It is 1:40am on a Tuesday in February. A woman in Baldivis is standing in six centimetres of water in her laundry, phone in hand, working down the Google results for emergency plumbers. Your listing is second. She rings. It goes to voicemail. She hangs up before the beep finishes and rings the third one, who answers.

That call was worth $260 to $735 for the visit alone, before the repair, before the make-good, and before eight years of a customer who now has someone else's number saved.[1] You will never know it happened. It shows in your phone as a missed call from a number you do not recognise.

The short version

  • Most callers do not leave a message. They hang up and ring the next name on the list instead.
  • An answering service and an AI receptionist are not the same product. One takes a message. The other can screen, quote, book and write the job into your system. Most of the market blurs the two on purpose.
  • The price gap is real and so is the capability gap. Off-the-shelf AI receptionists in Australia run about $99 to $699 a month. Human answering services run about $300 to $2,500.[3] Both are plans. Neither knows your call-out radius.
  • The value sits in the triage, not the voice. Every product uses the same underlying models. What separates them is whether somebody worked out which 2am jobs are worth waking you for in your business.
  • Compliance is not optional. Texting a customer back from your own number falls under the Spam Act 2003, and named sender IDs now have to sit on ACMA's register.[4]

What a missed after-hours call is worth in Perth

Start with the number, because even at $197 a month plus setup this page is not for everyone and the maths should decide it, not the copy.

In Perth an emergency or after-hours plumbing visit runs $260 to $735 before the work itself. A burst pipe repair adds $210 to $840. A hot water system replacement, which is what half of those 2am calls turn into, runs $1,250 to $6,300 installed.[1] On the air conditioning side, a split system install in Perth is $1,250 to $5,800 and a ducted system is $8,400 to $23,100.[2]

Now count the window. Business hours cover roughly 45 hours of a 168-hour week. The other 123 hours, including every February night when the aircon dies and every winter weekend when the storms bring down a gutter into a downpipe, are covered by whatever picks up when nobody is in the office.

One recovered after-hours job a month covers a $197 platform fee several times over. That is the only test worth applying. If your average job is small and your phone is quiet after five, a $150 product will do the job and we will tell you so on the call.

AI receptionist vs answering service: the actual difference

These get sold as the same thing. They are not, and the difference shows up in what happens after the call ends.

A human answering service takes a message. Someone in a call centre answers with your business name, writes down a name, a number and a rough description, and emails or texts it to you. That is the whole product. They do not know that you drive to Mandurah after midnight but not to Two Rocks. They do not know your after-hours rate. They cannot tell a burst main from a slow-filling cistern, so every message reads urgent or none of them do. At 6am you have a list of names and you still have to make every call back yourself.

An AI phone answering service can go further, if someone builds it that way. It can ask what has failed, work out whether water is still running, check the suburb against the area you actually cover, quote your after-hours rate before you get in the ute, offer a real slot from your diary, and write the whole thing into ServiceM8 or Simpro as a job card. The caller gets a text from the number they rang, confirming a name and a time.

The word "can" is doing the work in that sentence. Most tradie answering services sold as AI stop at the first half: answer, transcribe, email you. That is a faster voicemail. The second half is where a missed call turns back into a booked job, and the second half is custom work, because it depends entirely on how your business runs.

A 2am call, handled properly, step by step

Same Baldivis burst pipe. This is the sequence we build for Perth plumbing and gas operators, and the timestamps are the point.

1:40am, second ring. Answered. It asks what has happened, where the water is coming from, whether the meter has been shut off, and the suburb. While she talks it walks her through finding the mains tap, which stops the damage getting worse and stops her ringing anyone else.

1:42am, screened. Water still flowing, property inside your after-hours radius, customer accepts the call-out rate. Flagged as a genuine emergency rather than a morning job.

1:43am, escalated. Your on-call phone rings with the job already written: name, address, what has failed, whether the water is off, rate quoted and accepted. You are not ringing a stranger back at 2am to work out whether the drive is worth it.

1:44am, confirmed by SMS. She gets a text from the number she rang, with your business name, the tradesman's name and an arrival window. Not a shortcode. Not a shared marketing sender.

3:12am, the other call. Hot water system not heating in Bayswater. No leak, no gas smell, no flooding. Booked into the 7:30am slot. Nobody wakes you for a cold shower.

7:00am, both in ServiceM8. Two job cards with suburb, job type, urgency flag and the full call summary attached. One completed overnight, one booked. You opened no dashboard and transcribed nothing.

Summer runs the same shape for air conditioning. A ducted system dead at 38 degrees with a newborn in the house is a call-out. A noisy split system in Joondalup is a Thursday. Those rules are yours, set during the build, not guessed by a script.

Where off-the-shelf AI receptionists stop

There is a real market of AI receptionist products in Australia now, and some of them are good. They sit between roughly $99 and $699 a month depending on tier, with setup running from nothing to about $1,000.[3] For a lot of businesses that is the right purchase and we say so.

Where they stop is the same place every product stops. Every business on the plan gets the same script, because a product that is configured per customer stops being a product. So the escalation rules are generic, the suburb logic is a radius on a map rather than the road you will not drive at midnight, the calendar integration books into a slot without knowing that Thursday is your compliance day, and the SMS goes out from a shared sender rather than your number.

None of that is a criticism of the software. It is what a plan is. The question is only whether the difference between a message and a booked job is worth more to you than the difference between a $99 plan and a done-for-you setup. For an operator running one to ten crews on jobs worth thousands, it usually is. For a sole trader doing tap washers, it is not.

Your four options, honestly

Voicemail Human answering service Off-the-shelf AI receptionist Flat Out triage build
Cost Free, and the most expensive $300 to $2,500 a month[3] $99 to $699 a month[3] From $999 setup, $197 a month
Answers at 2am A beep If the plan covers after hours Yes Yes, second ring
Screens a real emergency No Takes a message Generic script Against your rules
Knows your call-out radius No No A radius on a map Suburb by suburb
Quotes your after-hours rate No No Rarely Before you drive
Texts back from your number No No Usually a shared sender Yes, Sender ID lodged
Writes the job into ServiceM8 or Simpro No Emails you Basic sync With suburb and value flag
Chases the quote afterwards No No No Day 2, 7 and 21
Changes as your business changes No New brief each time Same plan for everyone Tuned monthly on real replies
Who runs it Nobody A call centre You, through a dashboard We do

Straight assessment: we are the expensive column and we know it. If your after-hours volume is light and your jobs are small, buy a $199 product this afternoon and stop reading. The build earns its keep when the jobs you are missing are worth thousands, when the wrong call waking you at 2am costs you the next day, and when the message needs to sound like you rather than like software.

What an AI receptionist costs in Perth, from published plans

The $99 to $699 band above is the Australian market.[3] This is what one published Australian plan actually bills a Perth trade business, so the band has a worked example in it. Prices are as published in October 2026.

A published Australian AI receptionist plan, worked for a Perth trade business
PlanMonthlyCalls includedExtra callsA 60-call month costs
Core$14960$2.49 each$149, or $298.40 at 120 calls[5]
Scale$249150$1.99 each$249, with 90 calls unused
Max$449400$1.49 each$449
Flat Out triage build$197No capNone$197, after $999 setup

Three things to take from it. Setup is quoted separately on the published plan and runs from nothing to about $1,000 across the market, and the free setups are the ones you do yourself.[3] The allowance is paid for whether you use it or not, so a quiet Perth winter month on the Core plan costs $9.93 a call at 15 calls. And the overage has no ceiling, which is the line to ask about before a February heatwave doubles the invoice. The answering service cost comparison works every option, live answering included, at 15, 60 and 120 calls a month.

For a Perth business the honest budget is $99 to $300 a month plus setup for an off-the-shelf product, or our build if the calls you miss are worth thousands and the message has to sound like you. One recovered hot water replacement, $1,450 to $4,300 in Perth, pays for a year of either.[1]

Does it work with ServiceM8 or Simpro

Yes, and this is usually the question that decides it. We build behind whatever you already run rather than asking you to move.

Jobs captured overnight land in ServiceM8 or Simpro as job cards, with the customer details, the suburb, the job type and an urgency flag already filled in, plus the full call summary attached. Your quoting, scheduling and invoicing stay exactly where they are. Nobody in your office logs into a new system and nobody learns anything new. The whole thing runs on n8n and GoHighLevel underneath, which you never have to open.

If you run something else, we look at it during the audit and tell you honestly whether we can wire into it. Sometimes the answer is no, and it is better to hear that in a free thirty-minute call than after an invoice.

Is SMS from your own number legal in Australia

Yes, set up correctly, and this is the part most operators get wrong on their own.

Commercial SMS in Australia sits under the Spam Act 2003, enforced by ACMA. It requires consent, clear identification of your business, and a working unsubscribe. Someone who rings your business about a burst pipe has given you consent to reply about that job. A list you bought has given you nothing, and we will not build against it.

Named alphanumeric sender IDs, the ones that show your business name instead of a number, now have to sit on ACMA's SMS Sender ID Register. From 1 July 2026 carriers over-stamp unregistered sender IDs as "Unverified" on the customer's handset, which is a poor look on a message telling someone a plumber is on the way.[4] Which of your texts it hits is in our Sender ID guide. We lodge yours, set the consent and unsubscribe handling correctly, and keep the records.

Questions Perth operators ask first

Will my customers know it is an AI? We identify it as an assistant for your business rather than pretending it is a person. Someone standing in a flooded laundry at midnight cares about one thing, which is whether a plumber is coming. Answering on the second ring and confirming a time beats a voicemail beep every single time.

What if it gets a call wrong? Every call is recorded and reviewed. Anything the system is unsure about escalates to a human rather than guessing, and in the first fortnight we would rather it wake you once too often than miss a real emergency. We tighten the rules monthly using your own call recordings, so the edge cases in your business get handled by month two instead of staying edge cases.

How long does it take to build? About 14 days from the audit. Week one is the audit and scoping. Week two is the build, the Sender ID lodgement and the wiring into your job system. We test it against your own call history before it goes live, so the first real emergency is not the first time it runs.

How much does an AI receptionist cost in Perth? Off-the-shelf products sold to Perth businesses run $99 to $699 a month with setup from nothing to about $1,000; one published Australian plan is $149 for 60 calls, $249 for 150 and $449 for 400, with extra calls at $1.49 to $2.49. A trade business with normal volume should budget $99 to $300 a month plus setup. Our triage build is $999 setup and $197 a month with no per-call charge. The table above works a 60-call month on each.

AI receptionist or missed call text back: which does a Perth tradie need? Text back is the cheaper, simpler half: the missed call triggers a text from your number within a minute, the job and suburb get captured, and you ring back when you are off the roof. An AI receptionist answers the call itself and books it. If most of your calls are quotes that can wait an hour, text back is enough. If a real share are 2am emergencies worth thousands, you need the call answered, and that is the triage build. The missed call text back page covers the first; this page covers the second.

Do you work outside Perth? Perth and the Peel region only, and plumbing, gas, HVAC and air conditioning only. We work from Joondalup down to Mandurah, through Osborne Park, Bayswater and Fremantle. Local matters because the triage rules depend on your real driving radius. A 1am job in Baldivis and a 1am job in Wanneroo are not the same call for the same business.

Where this fits in the bigger leak

The phone is the first leak, not the only one. A trade business loses money before the job, when after-hours calls go unanswered and the caller rings the next name. It loses money during, when quotes go out and nobody follows them up. It loses money after, when the work is done and the invoice sits in an inbox for a month.

An AI receptionist fixes the first one. It does nothing for the other two, which is why we audit all three before building anything. Sometimes the phone is not your problem at all, and a thirty-minute call tells you that for free.
